 Knowing Your Limits


 

The old saying “You are only given what you can handle” is a nice one, and one that many find comfort in.  I think that yes the possibility of a higher power exists and the fact that he may dole out to us certain situations and a certain “work load” based on our own individual abilities is a nice idea.  I also think that there may be an alternative origin to this popular saying, I think that in reality we have a great deal of control over our environments, and that subconsciously we effect them far more then we realize.   Along this line of thinking we may only be given what we are able to handle because we only take on what we are sure we are able too.

 

Now I am not denying or affirming the existence of any higher being (that is a deeper subject for a different type of blog), what I am advocating is the ability for us to take responsibility for our lives and out situations.   You know, or at least have an idea of, what you are capable of and how much you can handle at once.  Some of us have the stamina and strength to work harder and longer, some of us have the headspace to consider and address many problems all at once, some of us have the will to remain calm under lots of stress.  Being self-aware will help you navigate easier through life.

 

A good analogy is at All Star Limousine we only take on a certain amount of work, we only book a finite amount of jobs and then we stop.   Many companies in this industry over book and attempt to take on more work then they can handle, they then try to sub-contract or “farm out” that work to other companies.  This has the potential to create a multitude of problems, you now have a faceless company doing another company a favor for a discounted rate and most likely they are squeezing this job into their schedule last minute, cars run late, they aren’t clean, they are not the models ordered, people, justifiably so, become upset.  All Star could take on more work, we have the vehicles, the drivers and the timing can be made to work, but by knowing our limits and looking to prioritize customer satisfaction over incoming revenue we choose to operate the way that we do, and we are very successful.  Its about knowing the limits and keeping your priorities in order, in the service industry the customer should be happy, all the time, profits will come if your customers are satisfied.

 

In the end we are only giving what we can mange because we only take what we know we can handle.  Be self-aware enough to not over extend yourself, know your limitations, know your strengths and know your weaknesses.  You will have an easier time of things and find truer and better success.

If you hold the title of travel manager you may have a tougher job then most may give you credit for.  The title of travel manager is somewhat new but in todays fast paced society it is absolutely necessary for any company that has any type of travel needs to either have an individual, and if needs are great enough, an entire department dedicated to handling all a companies logistical needs.  Years ago a companies procurement department, the department responsible for obtaining any services or goods that the company may require, was responsible for handling the travel needs for the company but often times that is a recipe for disaster. 

 

A procurement department is concerned primarily with one thing, the budget.  Whatever is the cheapest way to go is the direction that the procurement department heads in.  This is where you will find online bidding for services and all types of haggling and negotiations.  Now that may be fine when it comes to buying 10,000 pens or reams of white paper, but not when executive car service and or air and ground logistics are concerned.  Executive car services that can offer a low price point are not properly reinvesting their revenue back into the business.  Car service and limousine service is not cheap.  If you are looking for inexpensive ground transportation use a black car company or a cab service.  That is not intended to sound haughty or arrogant it is the truth, this is an industry where you get what you pay for.

 

The corporate travel department needs to have a solid understanding of their budget and the current and upcoming cost of travel in order to properly do their jobs.  Gas prices and airline costs change monthly and from region to region it is important to be aware of these variations.  The travel manager needs to be organized, they need to have a complete schedule for all upcoming transfers and they need to be on top of any last minute changes or fluctuations in that schedule.  Most importantly (and this is the case with many positions) they need to be able to communicate properly and effectively.  Communication is necessary for success in any travel department because things move quickly and there are a myriad of variables that can affect even the most meticulously planned travel schedule.  The travel department needs to be on top of all these changes and variations and then they need to be able to communicate properly to the correct person or persons these changes and the significance of them.

 

The corporate travel manager is not an easy job.  There is much to take into consideration and many variables to account for and often when things beyond your control throw a wrench into the works you will be the one doing damage control.  A proper understanding of the travel industry, a good head for budgeting and a knack for communication will contribute to the recipe for success for any travel department in any industry.

Efficient Executive Transportation for New York Airport Travel


 

Airport travel can either be the most relaxing aspect of business travel or the most stressful.  Sometimes, while on the plane, the traveling executive can take a moment to relax, unwind and decompress.  Other times the business traveler cannot stop thinking about that which has compelled him to travel, his business.  Now in the case of the later that individual has no need, nor does he have the time, to waste his mental energies worrying about his ground and air travel accommodations.  In all reality no one should have to stress or worry about pre-arranged logistics support, you are paying to be transported in an expected fashion and your expectations should, by all means, be met.

 

Unfortunately for many that is just not the case.  A high traffic airport or an area plagued by constant delays caused by a multitude of problems (such as New York’s LaGuardia Airport, or John F Kennedy International Airport, or Newark International Airport) will almost always have issues.  They will certainly be filled to capacity, their planes, their hangars, they’re parking areas, and their pick up and drop off areas will absolutely be crowded.  This all equates to confusion, stress, time lost, and unhappy customers.  For transportation companies, both air and ground, it means losing money.  All of that is unacceptable and, fortunately, can be avoided.

 

Now I have your attention.  The truth is proper communication and coordination between ground and air companies as well as lodging facilities can eliminate about 80% of the problem.   It all starts and ends with the executive car service or limousine company contracted to provide that ground transportation.  That company, above all else, needs to be punctual; they need to have new, clean vehicles, the chauffer needs to know where he is going and how his passenger needs to be accommodated.  This should happen regardless of the car service contracted (although that is all too often not the case).

 

What most companies do not realize and where the real efficiency comes in is when the lines of communication are clear and open.  When the executive car service is constantly in contact with the airline and they know that particular airlines procedures rules and needs.  Do they want us to pull out on to the tarmac?  What is their cancelation policy?  Do they need last minute or same day reservations?  What is their security protocol?  All these are good questions and the company providing the ground transportation should be intimately familiar with the right answers.  

 

That is the only way to mitigate the potential problems faced by frequent flyers and business travelers.  Communicate, show understanding and build a relationship, most importantly be able to follow thru with your promises, if a private airline asks you to be on the tarmac in 15 minuets to pick up a VIP, and you say you will be there, you better be there.  That is how proper business is conducted and how transportation in a high traffic area, like NYC or Long Island, can be simplified and handled properly.

7)   What type of insurance does the company carry?  It is important that the company owns all of their vehicles and insures all of their vehicles.  This provides them with an element of control and will also allow them to guarantee a certain level of service.  In addition in the case of an accident or mishap the proper insurance is in place.

8)   What amenities do these vehicles come equipped with?  Any vehicle rented out and used to transport VIPs should have drive cams and back ups cameras for safety, they should have real time GPS and as much technology available as possible in an effort to maximize comfort and efficiency.  The car should have an iPad in it for use by the customer and the driver; the vehicle of course should have an EZ pass.  The car should also have a tracking device installed so that the route that it is taking and the exact location can be immediately identified at all times.

9)   How quickly can I book a vehicle?  If necessary can I make arrangement for the same day?  For corporate travel often times arrangements must be made last minute, sometimes at the very last minute.  All Star Limousine has vehicles and drivers on stand by at several of the major hubs in the NY metro area.  They have drivers at LGA, JFK and Penn Station so that customers can book what is called a “ready now”, a last minute reservation that can be executed immediately.

10)    The company should have a streamlined and fast booking process.  The reservations should be able to be made online, or by phone and should be able to be confirmed instantly.  The reservation process should be able to be fully customized and profiles for each company and each traveler should be detailed and up to date.  These profiles should include information such as favored drivers or vehicles, home addresses and contact numbers and any other information that could be used to create a more pleasurable experience for the customer.

11)   Ask how long the company has been in business.  A company that has only been around a short period of time is something to beware of.

12)   Do not leave large deposits; a true executive car service should not require you to leave a large sum of money prior to the execution of the service.

13)   Make sure that the company does not sub contract out your work.  The term in the industry is “Farming out” you absolutely do not want a company to farm out your transfer, especially when it comes to corporate work.  You then have another company operating in the contracted companies name who may or may not care if the job goes well.

14)   Does the company have a back up plan?  In the event of unforeseen or unavoidable circumstance does the company have a counter measure?  God forbid the driver is hit by another car on the way to a pick up or has a blow out what kind of back up plan does the company have?  Do they have vehicles on stand by?  Do they have extra cars and drivers available?

Sales and Marketing, when people here those two words they have one of two very different reactions; Either they cringe and grit their teeth or the adrenaline starts going and the blood pressure begins to elevate.  Sales especially is something people hate or they love.  Marketing as well but usually marketing is a bit more low pressure as opposed to sales.  Sales and marketing in an executive car service or limousine company is very similar to sales in any service-based industry and at the same time it is very different.

 

From the perspective of a sales person for any service industry you need to truly believe in what you are offering to people (or be an unscrupulous moral-less sales person) because when people experience that service and are unsatisfied odds are they are going to let you know, and in any service industry people aren’t exactly nice about their bad experiences.  This remains true in the executive car industry but there are some additional challenges faced by the limousine sales person.   For one when dealing with the corporate end of the business things need to be perfect, without exception, and corporate entities using an executive car service can be very demanding because often times your service will directly affect their service.  What I mean is that if we are scheduled to pick up the VP of sales for a major financing firm and take him to his meeting with a potential client and he is late (because we are late) that costs him money, for the most part if that happens once they are looking for another service (and justifiably so).

 

The other side of the business is the celebratory side, weddings, proms birthdays and special occasions.  Events that for people usually mark major life milestones, and although there exist no or very little residual business for these type of events, these types of trips can be the most stressful and potentially problematic.  Just like the corporate end people are spending a good amount of money and they expect nothing short of perfection.  Unfortunately sometimes there is just no pleasing certain people, no matter what they will not be fully satisfied and again when things go wrong it is usually the sales person who gets that angry phone call.
