The Corporate Travel Department (3 Important Skills for any Travel Manager)

 


 

If you hold the title of travel manager you may have a tougher job then most may give you credit for.  The title of travel manager is somewhat new but in todays fast paced society it is absolutely necessary for any company that has any type of travel needs to either have an individual, and if needs are great enough, an entire department dedicated to handling all a companies logistical needs.  Years ago a companies procurement department, the department responsible for obtaining any services or goods that the company may require, was responsible for handling the travel needs for the company but often times that is a recipe for disaster. 

 

A procurement department is concerned primarily with one thing, the budget.  Whatever is the cheapest way to go is the direction that the procurement department heads in.  This is where you will find online bidding for services and all types of haggling and negotiations.  Now that may be fine when it comes to buying 10,000 pens or reams of white paper, but not when executive car service and or air and ground logistics are concerned.  Executive car services that can offer a low price point are not properly reinvesting their revenue back into the business.  Car service and limousine service is not cheap.  If you are looking for inexpensive ground transportation use a black car company or a cab service.  That is not intended to sound haughty or arrogant it is the truth, this is an industry where you get what you pay for.

 

The corporate travel department needs to have a solid understanding of their budget and the current and upcoming cost of travel in order to properly do their jobs.  Gas prices and airline costs change monthly and from region to region it is important to be aware of these variations.  The travel manager needs to be organized, they need to have a complete schedule for all upcoming transfers and they need to be on top of any last minute changes or fluctuations in that schedule.  Most importantly (and this is the case with many positions) they need to be able to communicate properly and effectively.  Communication is necessary for success in any travel department because things move quickly and there are a myriad of variables that can affect even the most meticulously planned travel schedule.  The travel department needs to be on top of all these changes and variations and then they need to be able to communicate properly to the correct person or persons these changes and the significance of them.

 

The corporate travel manager is not an easy job.  There is much to take into consideration and many variables to account for and often when things beyond your control throw a wrench into the works you will be the one doing damage control.  A proper understanding of the travel industry, a good head for budgeting and a knack for communication will contribute to the recipe for success for any travel department in any industry.

Efficient Executive Transportation for New York Airport Travel


 

Airport travel can either be the most relaxing aspect of business travel or the most stressful.  Sometimes, while on the plane, the traveling executive can take a moment to relax, unwind and decompress.  Other times the business traveler cannot stop thinking about that which has compelled him to travel, his business.  Now in the case of the later that individual has no need, nor does he have the time, to waste his mental energies worrying about his ground and air travel accommodations.  In all reality no one should have to stress or worry about pre-arranged logistics support, you are paying to be transported in an expected fashion and your expectations should, by all means, be met.

 

Unfortunately for many that is just not the case.  A high traffic airport or an area plagued by constant delays caused by a multitude of problems (such as New York’s LaGuardia Airport, or John F Kennedy International Airport, or Newark International Airport) will almost always have issues.  They will certainly be filled to capacity, their planes, their hangars, they’re parking areas, and their pick up and drop off areas will absolutely be crowded.  This all equates to confusion, stress, time lost, and unhappy customers.  For transportation companies, both air and ground, it means losing money.  All of that is unacceptable and, fortunately, can be avoided.

 

Now I have your attention.  The truth is proper communication and coordination between ground and air companies as well as lodging facilities can eliminate about 80% of the problem.   It all starts and ends with the executive car service or limousine company contracted to provide that ground transportation.  That company, above all else, needs to be punctual; they need to have new, clean vehicles, the chauffer needs to know where he is going and how his passenger needs to be accommodated.  This should happen regardless of the car service contracted (although that is all too often not the case).

 

What most companies do not realize and where the real efficiency comes in is when the lines of communication are clear and open.  When the executive car service is constantly in contact with the airline and they know that particular airlines procedures rules and needs.  Do they want us to pull out on to the tarmac?  What is their cancelation policy?  Do they need last minute or same day reservations?  What is their security protocol?  All these are good questions and the company providing the ground transportation should be intimately familiar with the right answers.  

 

That is the only way to mitigate the potential problems faced by frequent flyers and business travelers.  Communicate, show understanding and build a relationship, most importantly be able to follow thru with your promises, if a private airline asks you to be on the tarmac in 15 minuets to pick up a VIP, and you say you will be there, you better be there.  That is how proper business is conducted and how transportation in a high traffic area, like NYC or Long Island, can be simplified and handled properly.

If you are looking to travel for the holidays then book your flights now.  Research shows that now is the proverbial sweet spot for airline bookings for this years Christmas holiday season.  Don’t even think about booking for Thanksgiving as that ship has already sailed.  Their does exist the perfect time to book flights where you can get an incredible deal, its just a matter of doing it when the time is just right.

Traveling can be stressful.  So often we travel on vacation with the intention of relaxing but it is rare that we actually get to do so until we are unpacking in our hotel room.  This is especially true in a city like New York where we face stress around every corner.  Why not start the vacation at your doorstep?  While some of you are laughing and some are thinking to themselves “impossible”, I promise you it can be done.  The key lies in proper planning, and making the arrangements with the right organizations.

 

To start with, book your flight early, plan your vacation well in advance.  If you are really looking to save money look to travel during an off peak time, airlines are often desperate to fill seats on scheduled flights during certain times of year.   Fly on a reputable airline, one that is known either for their perks or their service.  This will ensure you a nice flight with no surprises.

Travelling can be stressful, but it doesn’t have to be.  Plan properly and with enough time to engage the companies that you want in order to start your vacation as soon as possible.  On your vacation you should be able to relax from the time you walk out your front door until you’re punching the clock the morning after your return!

We all know that traveling, as exciting as it is supposed to be, can also be stressful and difficult.  Being in the travel industry we deal with individuals on the go every day, and we have seen the right way to travel, and the very wrong way.  Below are some helpful travel hacks and tips collected from some of our more experienced clients.

 

Packing can be one of the most complicated elements of traveling, but it does not have to be.  If you pack heavily try rolling your cloths to save space, or try stuffing socks and underwear into your shoes to maximize the room in your bags.  To keep your cloths smelling fresh and clean place a dryer sheet in your suitcase, this will also help reduce static.  When you go to unpack do you often find your cloths get wrinkled no matter how neatly you fold them?  Try packing them in tissue paper to reduce wrinkling.  If you’re not traveling with a garment bag place a belt in the collar of your dress shirts to keep it strait.  For toiletries refill travel sized containers instead of buying new ones every time or fill straws with shampoos, toothpaste and sunscreen to be extra economical.

 

When booking flights or hotel reservations make sure you do this way in advance, this will get you the best rates as pricing, especially for airlines, increases as the seats begin to fill up.  Also when booking online be sure to enable private browsing as travel sites track your visits and will often raise the rates just because they see you have visited the site before.  When traveling to the airport use a car service, it will alleviate the pressure of timing and take away the anxiety of potentially missing that flight, also depending on the length of your trip and the amount of people you are traveling with taking a car service can often times be more cost effective that parking your car at the airport.

Great Restaurants Near Farmingdale's Republic Airport

3 Zagat Rated Restaurants Near Republic Airport


 

Republic Airport occupies 526 acres in East Farmingdale and began operation nearly a century ago in the spring of 1928.  Originally it was used as a testing ground for new aircraft built by local manufactures such as Grumman and Seversky.  It was not until 1965 that the airport became a general aviation airport when the Farmingdale Corporation purchased it.

 

Today Farmingdale’s Republic Airport boasts a $139 million impact to Nassau and Suffolk Counties each year.  It is most well known for its appeal to traveling executives and corporate clientele.   To these business travelers time is money and the last thing these busy people have time to do is find a good restaurant.  So in the interest of expeditiousness here are three Zagat rated restaurants near Farmingdale’s Republic Airport.

 

Franks Steak’s is located just over ten miles, at Jericho turnpike in Jericho NY, South West of Republic Airport and has been Zagat rated since 1988.  Zagat survey says Franks has “The best skirt steak on earth.”  A bold statement but it is not far from the truth.  Franks steaks serves only prime aged beef and surpasses the highest standards in the industry.   Franks is no mere steak house and has a large and varied menu that includes chops, chicken, salads and seafood.

 

San Marco Ristorante is located exactly ten miles from Republic Airport, in Hauppauge, and offers incredible northern Italian cuisine.  Amongst much prestige this classic and beautiful Italian restaurant won restaurant of the year in 2010 and was said to be “Extraordinary to perfection!” by Zagat in 2012.  Their menu offers a mouth-watering selection of authentic northern Italian dishes and the quality of their food is matched only by the quality of their service.

 

Ariana Restaurant is located just under ten miles from Republic Airport, in the township of Huntington, and even after scouring the internet I could not find one negative thing said about this truly unique establishment.  Offering fine Afghan and Vegan cuisine for over 18 years Zagat claims “Araina is Long Island’s best kept vegan secret.”  The food and seasoning in this establishment is incredible and like nothing I have ever tasted before.  Everything I have had the pleasure of trying has been delicious, to the point where when I return I am hesitant to try anything new because I have so enjoyed the previous meals.  This is another fine choice by Zagat and a great selection for any traveling executive.
